How to Add Schedule Items
What Are Schedule Items?
Schedule items are basic calendar entries for your artist that differ from Events in several key ways:
Where Schedule Items Appear:
- Day view of the Artist's Calendar
- Exported Day Sheet/Itinerary (if selected)
- Within Event details (if associated with an Event)
Where Schedule Items Do NOT Appear:
- Roster "All Artists" calendar
- Artist Calendar's week, month, 6-month, or year views
Schedule items have fewer pre-formatted fields than Events and are commonly used for Travel and Accommodation details.
This is not the same as an Event. You can use it independently, or attach it to an Event to serve as that Event's schedule.
Adding Schedule Items Associated with an Event
Method 1: From the Event
- Click on a created Event from any calendar view
- Click Schedule
- Click the + icon
- Choose Schedule Item, Travel, or Accommodation
- Enter relevant details
- Click Save
Method 2: Using a Schedule Template
Note: An event schedule template must be created before following these steps.
- Click on a created Event from any calendar view
- Click Apply Template
- Choose your desired Template
- Click Apply Template
Method 3: From the Artist Calendar
- Select Day View
- Locate the Schedule section mid-screen
- Click the + icon to the right
- Choose Schedule Item, Travel, or Accommodation
- Enter relevant details, including Link to Event
- Click Save
Adding Standalone Schedule Items (Not Associated with an Event)
From the Artist Calendar
- Select Day View
- Locate the Schedule section mid-screen
- Click the + icon to the right
- Choose Schedule Item, Travel, or Accommodation
- Enter relevant details (leave Event link blank for standalone items)
- Click Save
Important Notes
- Event Linking: When you link a schedule item to an event from Day View, it will appear in the "Schedule Section" of the Full Event Details page
- Location Sharing: When linked to an event, schedule items automatically share the Event's location details
- Travel & Accommodation: These entries offer the same flexibility as Schedule Items but include specialized fields for:
- Air and ground departure/arrival times
- Lodging reservation logistics
- Schedule Types: You can associate a schedule type with any schedule item or leave it as a general entry
- Flexibility: Schedule items can be added as standalone entries or linked to pre-existing events

- Travel arrangements

This creates a complete picture of your artist's day while maintaining the flexibility to view detailed information only when needed.
