Getting Started

Accessing Your Projects

  • Navigate to Projects in the main navigation panel on the left side of your screen
  • Click to view all projects you have access to

Creating a New Project

  • From the Projects page, click the + Add Project button in the top right corner
  • Fill in the required project details to get started
  • Your new project will appear in your project list immediately


Managing Project Details

Team Assignments

Assign the right people to ensure project success. From the Overview tab, you can add team members in three key roles:

  • Owner - Has full control over the project, including editing permissions and access management
  • DRI (Directly Responsible Individual) - The primary point person accountable for project outcomes and day-to-day management
  • Collaborator - Can contribute to and edit project content but has limited administrative access

Linking Content

Connect your project to related resources for better organization:

  • Artists - Link relevant artists to keep all related work centralized
  • Calendar Events - Connect project milestones, deadlines, or related events to maintain timeline visibility

Project Description

Use the description field to clearly communicate your project's purpose and goals. This helps team members understand the project's context and keeps everyone aligned on objectives.

Understanding Project Statuses

Project statuses provide at-a-glance visibility into your project's health and progress:

  • On Track - Project is proceeding as planned with no major issues
  • At Risk - Project may face challenges that could impact timeline or deliverables
  • Off Track - Project is behind schedule and requires immediate attention
  • Completed - Project has been finished successfully
  • On Hold - Project is temporarily paused but may resume later
  • Cancelled - Project has been permanently terminated

 Pro Tip: Regularly update project status to keep stakeholders informed and maintain project visibility across your organization.


Managing Project Visibility

Control who can see and access your projects by adjusting visibility settings.

How to Change Visibility

  • Navigate to the project's Settings page (located to the right of the project title)
  • Choose your preferred visibility level

Visibility Options

  • Private - Only visible to team members specifically listed as Collaborators. Ideal for sensitive or confidential projects
  • Public - Visible to all team members in your organization, but only designated Collaborators can make edits. Perfect for projects that benefit from broader awareness while maintaining controlled editing access

Project Management Options

Archiving Projects

Keep your active project list clean by archiving completed or inactive projects:

  • Archived projects remain accessible but don't clutter your main project view
  • Use archiving for projects you're not actively working on but may need to reference later

Deleting Projects

Permanently remove projects you no longer need:

Important: Deletion cannot be undone, so be certain before proceeding

  • Consider archiving instead if you might need the project information in the future

Managing Archived Projects

  • Use the filter toggle at the top right of the Project List to show or hide archived projects
  • This allows you to focus on active work while keeping completed projects accessible when needed

Using Project Templates 

Project templates preserve effective project setups as reusable blueprints

  • You can create/save a template from an existing project to save the layout for future projects just like this one
  • OR you can create project, then add an existing template from a previous project to save time 

Best Practices for Project Success

Keep Information Current: Regular updates to project status, descriptions, and team assignments ensure everyone stays informed and aligned.

Use Descriptive Names: Clear project titles make it easier for team members to quickly identify and access the right projects.

Leverage Team Roles: Assign appropriate roles (Owner, DRI, Collaborator) to establish clear accountability and streamline decision-making.

Regular Cleanup: Periodically archive completed projects and delete unnecessary ones to maintain an organized workspace.
