Events vs. Schedule Items: Understanding the Difference

Overview

Artist Growth uses two key components to manage your calendar effectively: Events and Schedule Items.

Understanding the difference between these two elements will help you keep your team organized and your schedules accurate.

 

What is an Event?

An Event is a planned occasion with a specific date and time. Events serve as containers for all details related to a particular activity and Event Types can be categorized as:

  • Performances
  • Festivals
  • Sessions
  • Promotions
  • And many more

Events appear on both your Roster and Artist Calendars. Double-clicking any event opens the Full Event Details page where you can view Notes, Files, Finances, Contacts, Deal Info, Venue Information, and all Schedule Items related to that event.

 

Adding an Event to Your Calendar

  1. From any calendar view, click the orange + button in the top right corner
  2. Select the appropriate Event Type (Performance, Festival, Promotion, Special Event, Rehearsal, Travel, Miscellaneous, Hold, etc).
  3. Enter the basic details, including confirmation status (unconfirmed events display as tentative)
  4. Choose whether it's an all-day event or specify start and end times
  5. Click Save

 

What is a Schedule Item?

Schedule Items are the smaller components that make up the logistics of your main Event. These items appear on your tour itinerary or day-sheet and include:

  • Travel Details
  • Accommodations
  • General Schedule Items (which can be categorized by Event Types)

 

Note: Schedule Items only appear on your Event's Full Details Page or when viewing an Artist Calendar in Day View. They will not appear on your Roster or Artist Calendar in Weekly, Monthly, or Extended Calendar Views.

 

Adding Schedule Items

Via Full Event Details:

  1. Click on the Event to access Full Event details
  2. Select the Schedule tab
  3. Click +Add
  4. Choose Travel, Accommodation, or General Schedule Item
  5. Add your information
  6. Click Save or Save & Add Another

 

Via Day View Calendar:

  1. Navigate to the specific Artist using the Context Switcher
  2. Switch to Day View using the Calendar View toggle
  3. Use Jump To to select the event date
  4. Click the + button next to "Schedule" on the right side
  5. Select the item type and fill out the information
  6. Click Link to Event and select the associated event
  7. Click Save

 

Who can add Events and Schedule Items?

Account Owners and those who have Collaborative Roles with permissions to Manage Events and Schedule Line Items can add, edit, and delete Events and Schedule Items.

 

When to Use Events vs. Schedule Items

Use Events for:

  • Major activities like tour dates, promotional appearances, or recording sessions
  • Creating an overview of a tour or series of activities
  • Establishing a central access point for critical information

Use Schedule Items for:

  • Detailed logistics within an Event (load in/out times, sound check, etc.)
  • Breaking down the day-by-day or hour-by-hour schedule
  • Creating comprehensive itineraries for each Event

Who can Edit, Delete, and Add both Events and Schedule Items? 

  • Account Owners and users with Collaborative Roles that include permissions to Manage Events and Schedule Line Items
