Managing Event Logistics
Overview
Once you've added an event to your calendar, you can access comprehensive logistics management tools by clicking View Full Event Details. This central hub allows you to organize all aspects of your event planning and execution in one place.
Event Notes Section
The Notes section provides dedicated fields for organizing different types of event information:
- Event Notes: Use this area for general and high-level event details that provide an overview of the event.
- Deal Information: Document contract summaries, revenue structures, and other business-related details here.
- Marketing and Production Notes: Store specific information related to marketing campaigns and production requirements.
Schedule Management
The Schedule section displays all schedule items linked to your event. You can view existing scheduled items and add new ones directly to the event using the Add button. This helps you maintain a comprehensive timeline of all event activities.
Guest List Management
The Guest List section provides detailed information about event attendees, including:
- Guest names
- Their relationship to the artist and team
- Number of tickets allocated to each guest
- Guest pass access levels
You can export and share your guest list as either a CSV or PDF file for easy distribution to relevant team members.
Contact Information
The Contacts section allows you to store and organize key contact information for everyone involved in the event. This ensures important phone numbers and email addresses are easily accessible when you need them.
Financial Tracking
The Finances section functions as a comprehensive ledger for all event-related financial activity. To add financial transactions:
- Click the Add Transactions button
- Select either Expense or Revenue
- Enter the transaction amount
- Add relevant details such as:
- Payment type
- Category
- Receipt attachments
This system helps you track the complete financial picture of your event.
File Management
The Files section allows you to attach and organize important documents by category:
- Deal Information: Contracts, agreements, and legal documents
- Marketing Assets: Promotional materials, graphics, and marketing content
- Production Documents: Technical riders, stage plots, and production schedules
Quick Access
For your convenience, all Contacts and Files added to an event are also accessible through the side panel when viewing your Day Calendar. This provides quick access to essential information without navigating away from your calendar view.
