Project Management Overview: Projects, Templates & Tasks
Project Management allows you to organize your work, collaborate with team members, and track tasks across your organization.
Getting Started with Projects
To Access Projects
- Look for Projects in the main navigation panel on the left side of your screen
- Click on it to view all projects you can access
To Create a New Project
- Navigate to the Projects page
- Click the + Add Project button in the top right corner
- Fill in the required project details
Understanding Project Templates
Project templates help you maintain consistency and save time by preserving effective project setups as reusable blueprints.
What Templates Do:
- Preserve effective project setups as reusable templates for consistent workflow organization
- Maintain a collection of tested project layouts for efficient setup of similar recurring initiatives
Template vs. Project:
- Template = Master Blueprint - Contains the base structure, description, and standard tasks that serve as the foundational framework
- Project = Instance/Branch of the Template - Uses the template as its starting point and inherits the template's description and tasks

Working with Tasks
Tasks are the building blocks of your projects, helping you break down larger initiatives into manageable action items.
To Add Tasks to Projects:
- Open your project
- Click the + Add Task button in the top right corner
- Fill in task details
Viewing Your Tasks:
- Board View: Drag and drop tasks between status lanes for visual workflow management
- List View: Sort tasks by various details for detailed organization
Task Details Include:
- Name - Clear task title
- Due Date - When the task needs to be completed
- Assignee - Team member responsible for the task
- Linked Event - Connect tasks to specific events (if applicable)
- Description - Additional context and requirements
- Projects - Which projects the task is associated with
- Group your tasks by the projects they are associated with!
- Task Categories - Organize and filter your tasks by categories you create when setting up a project
How to Add Task Categories to a Project:
- Navigate to the My Projects tab
- Click the + Add Project button in the top right corner
- Go to Project Settings by clicking the settings toggle next to the untitled project name
- Under the "General" section, find the Task Categories area
- Add your categories and click Save
Important Note: Tasks linked to Events appear in both the Project and the Event's "Tasks" section, keeping everything connected.
Collaboration Features
Comments: Add notes and updates within any task using the "Add Comment" text box to keep team communication centralized - available on both the mobile and the desktop application.
Activity Feed: View all updates made to a task in the "Activity" tab to track progress and changes over time.
My Tasks Dashboard
Access all tasks assigned to you by clicking on My Tasks in the navigation panel. This centralized view includes:
- Tasks linked to Events
- Tasks associated with Projects
- Standalone Tasks
This gives you a complete overview of everything on your plate, regardless of where the tasks originated.
